SOFTOLOGIES (SMC-PRIVATE) LIMITED is committed to client satisfaction. We encourage clients to communicate concerns early so we can resolve issues proactively. This policy outlines our fair and transparent refund terms.
1. Web Development & Software Projects
โ Before Project Commencement
Full refund of advance payment if project has not commenced within 7 days of payment receipt.
โก During Development
Partial refund proportional to work not yet commenced, minus reasonable costs already incurred (design, planning, completed work). Calculated fairly on a case-by-case basis.
โ After Delivery & Acceptance
No refund once deliverables have been accepted and deployed, except in cases of material defects not resolved within the 30-day post-delivery warranty period.
2. Hosting & Subscription Services
- Monthly Plans: No refund for the current billing period. Cancellation takes effect at the end of the current period. No further charges after cancellation.
- Annual Plans: Pro-rata refund for unused complete months if cancelled within the first 30 days of the annual term. No refund after 30 days of the annual term.
- Service Downtime: Service credits issued for downtime exceeding our 99.9% uptime SLA, applied to your next invoice.
3. Digital Marketing Services
- Monthly retainer fees are non-refundable once a campaign has been launched
- Ad spend paid to Meta/Google platforms is non-refundable as it is paid directly to those platforms
- If we fail to deliver agreed deliverables within the stated timeline, a proportional credit will be applied
4. Non-Refundable Items
- Domain registration fees โ non-refundable per domain registry policies
- Third-party software licenses or API subscriptions purchased on client behalf
- Completed and client-approved project milestones
- Rush delivery surcharges
- Ad spend paid to third-party advertising platforms
5. How to Request a Refund
To submit a refund request:
- Email info@softologies.site with subject line: "Refund Request โ [Your Project Name]"
- Include: your full name, project reference, payment date, amount paid, and reason for the request
- Refund requests must be submitted within 30 days of payment or delivery date
- We will acknowledge your request within 2 business days
- Approved refunds are processed within 14 business days via the original payment method
6. Dispute Resolution
If you are not satisfied with our refund decision, we encourage you to escalate via email to info@softologies.site with full details. We will review all disputes fairly and respond within 5 business days. Our goal is always a fair outcome for both parties.
